You can read the official Lending Rules here (version June 2024).

Borrowed materials can be renewed a maximum of 3 times. When renewed, the loan period for materials with a normal loan period becomes 14 days, and 7 days for short loan. Renewing is only possible if there are no reservations on the material. NOTE: the new loan period starts immediately at the time of renewal and not on the original return date!

There are several ways to renew your loans:

  • The easiest way is through HanzeWorldCat. If you are logged in there, you will get an overview of your loans, and you can indicate which ones you want to renew.
  • You can also extend your loans in the Hanze Library at the self-service or counter. For this, however, you will need your student/employee card.

It is only possible to reserve materials that are currently out on loan.

1. If you have found the title you want to reserve in the HanzeWorldCat and it is out on loan, you can click Reservering plaatsen or Place Hold.

It does make sense to first check whether other copies are available: these cannot be reserved, but you can look them up in the bookcase.

2. After clicking Place Hold, you may be asked to log in and be presented with a drop-down menu: select the location where you want to pick up the book. Then click Submit. The system will automatically reserve the item that comes in first for you.

3. You will be informed by e-mail in your Hanze mailbox when you can pick up the book. All reserved books are sorted by student number. The book will remain ready for you for 5 working days. (If we do not have your e-mail address, you will receive a message by post).

4. Lend the book to yourself at the self-service or at the counter!

There is no charge for reserving books. Please note: If you want to pick up a book from location A at location B, it may take 1-3 days.

Books

At all four Hanze Library locations you can find bookshelves full of books. These are always sorted by theme; we use the so-called SISO sorting system. Check the picture to see which theme you want to go to.

On the spine of each book is a label showing the numbers of the SISO sorting and, below that, four letters. The numbers have to do with the main subject of the book, and the letters are the first four letters of the author's surname (or title, if the publication has no author). For example, 340.6 SAUN. The book is listed among the other books with SISO code 340.6, which are on the same subject, sorted alphabetically by the four letters.

In the catalog, you can always see what the SISO code (look under Signature) of a book or other material in the shelf is, so you can find and grab it yourself.

Do you put a book back after some browsing? Then make sure you put it back properly!

Journals

Printed journals are sorted alphabetically in the cupboard at each location.

Books with a big N on the back label are Not Lendable. There is also a sticker on the front of the book to recognise that you cannot borrow it. These books are intended for use in the library. This way, everyone always has access to the material, even if the other copies are out on loan.

You may of course take photos of the chapter you need, copy or scan it, as long as it is for your own use.

Request

Part of the collection is in a closed storage room. In the catalog, it says "Magazijn" or an "M". You can have material retrieved from the storage room by clicking the Place hold button and filling in the details. Click send.

You can collect the book the next working day after 2.30pm at the counter of the relevant location. A book will remain on hold for you for 8 days.

If you want to borrow a book from another Hanze Library location, you can collect it there yourself or have it sent to your own Hanze Library location. If you want to have it sent to your Hanze Library location, you can request this at the counter of your location. A book will be held for you for 5 working days.

Does the Hanze Library not have the book or journal you need? In that case, you can borrow it from the University Library of the University of Groningen or another library in the Netherlands. You can borrow from another library via the Interlibrary Loan (IBL). This does involve costs.

How do I request something

  1. Go to the Catalog and log in (top right)
  2. Then search for the title you need. Make sure you have chosen the right print. If the chosen title is not available at the Hanze Library, the "Request item from another library in the Netherlands" button will appear.
  3. If you press that button, a form will appear, which can be submitted after completion.
  4. You will be notified when you can collect the book from the Hanze Library, or if a request cannot be honoured.
  5. Articles are sent to your Hanse mail. The article remains available for 30 days, or can be opened 5 times. After that, the article is no longer available

What does it cost

  • €13 for borrowing a book
  • €6.50 for borrowing an article

You can pay by debit card at the Hanze Library.

If you want to borrow items from the University's library more often:

Do you often borrow books from the UB? HG students can get a discount on a UB pass or buy a combination pass for the UB and the public library (Forum). Click here for more information.

Is there a more comprehensive guide on how to go about this?

Yes. To show you step by step how to apply for an IBL request, you can also view these manuals: book request | article request

If you only want to use a resource from the RUG collection occasionally, a loan request via InterBibliothecary Lending (IBL) is probably more advantageous. But would you like to use the RUG University Library collection more often? As a Hanze student, you get a discount on your UB membership!

UB membership

If you are a Hanze University student and become a member of the RUG University Library, Hanze University will refund 50% of the membership fee to your bank account. You can find more information on the RUG website about the library card and rates of the University Library.

Martini-pass: University Library + Groninger Forum

It is also possible to purchase a combination pass for both the University Library and the Groningen Public Library, the Forum, namely with the Martini subscription.

How can you apply for the discount?
You have to do something for it: Fill in the digital form 'declaration of general costs students'. You can find this form on the mijnhanze pages of Financial Economic Affairs (FEZ). Send the completed claim form with proof of payment of the UB membership to the Financial Administration of Hanze UAS via facturen@org.hanze.nl. The discount amount will then be credited to your bank account.

Do you work or study at Hanze University and do you think a book, e-book or journal is missing from the collection? Let us know via the form below, or talk to an employee at the Hanze Library. Are you an employee, and would you like to order a book for work? Then check this link.

What if...

Did you know you can renew a loan 3 times? By doing so, you might avoid replacement costs. We will send you multiple reminders to return your materials*. However, you cannot renew your loan if someone else has reserved the book or if your account is blocked.

If you forget to renew, or if there is a reservation and you haven’t returned the book, your account will be blocked one week after the due date expires. You will not be able to borrow, renew, or reserve until you return the material.

If you fail to return the book, we will have to replace it so it can be loaned out again. You will be responsible for the replacement costs, which include the new price of the book (minimum €25) plus administration costs (€15). For normal loans, we replace the book 3 weeks past the due date; for short loans, after 1 week. You will then no longer be able to return the material.

*No rights can be derived from the reminders. You are responsible for returning borrowed materials on time.

That’s unfortunate! Please report it as soon as possible. As a borrower, you are responsible for the borrowed materials. If you report loss or damage, you can provide an undamaged replacement copy of the same or newer edition yourself; if not, you must reimburse the new value (minimum €25). Additionally, you will always pay €15 administration costs. If you do not report damage or loss, your account will be blocked one week after the due date, and after a total of 3 weeks, you will receive an invoice.
